Revised Student Policies, Procedures and Guidelines

Under the University’s Higher Education Standards Framework (HESF) Implementation Plan, Student Administration has undertaken a review of current policies for which it has either sole or shared responsibility to identify those that require changes to comply with the new and amended Higher Education Standards Framework (2015).

The following policies and procedures were identified as requiring updates in line with the revised standards:

  • Admissions to Coursework Programs Policy
  • Academic Documents Policy
  • Student Complaint Management Policy and Student Complaint Management Procedures
  • Student Appeals Policy and Student Appeals Procedures
  • Student Conduct and Discipline Policy
  • Guidelines for Honours Programs
  • Guidelines for Postgraduate Coursework Programs

Summary description of the revisions

The changes made to comply with the Higher Education Standards Framework (2015) are:

Admissions to Coursework Programs Policy

  • Policy now states that students are advised of charges prior to enrolment as this was not previously outlined in the Admission to Coursework Programs Policy.
  • Inclusion of requirement that all contractual arrangements with students are in writing and include conditions of enrolment and participation for undertaking a particular course of study that may not apply to other courses more generally such as health requirements for students undertaking clinical work, requirements for security checks, particular language requirements and particular requirements of work placements.

Academic Documents Policy

  • Standards now state that testamurs must include any subsidiary component of the   qualification (such as integrated honours, an area of specialisation or a major study).  This has  now been reflected in the policy.
  • Policy now lists all details which must be included in the record of results for each student.

Student Complaint Management Policy

  • Amended to include prospective students as well as current students having access to a mechanism capable of resolving grievances.
  • Inclusion of students’ entitlement to seek ‘independent professional advice, advocacy and other support advice’ in the complaint handling processes through the ACU Student Advocacy Service.
  • The notification requirements in the procedures now require that the student is informed in writing inclusive of further avenues of appeal where they exist.
  • Any action required from an upheld complaint must now be initiated within 10 working days of the notification.
  • The Policy now states that a University Register of complaints will be maintained and monitored along with action taken to address underlying causes.

Student Appeals Policy

  • Inclusion of students’ entitlement to seek ‘independent professional advice, advocacy and other support advice’ through the ACU Student Advocacy Service.
  • Procedure now includes in the notification requirements that the student is informed in writing of further avenues of appeal, where they exist.
  • Any action required from an upheld complaint must now be initiated within 10 working days of the notification.

Student Conduct and Discipline Policy

For allegations of misconduct the policy previously stated that a record is kept on student's file and that a report on findings of misconduct are reported to Academic Board annually, but there is now a requirement for the report to identify action, if required, to be taken to address any underlying causes.

Guidelines for Honours Programs

The new Higher Degree Research Supervision Policy - formerly the 'Code of Practice: Higher Degree Research' is silent on induction. A new section on induction has therefore been added to the Procedures.

Guidelines for Postgraduate Coursework Programs

  • In line with HESF standards the Guidelines have been updated to require that Supervisors will be active researchers in the students proposed area of study.
  • The new Higher Degree Research Supervision Policy - formerly the 'Code of Practice: Higher Degree Research' is silent on induction. A new section on induction has therefore been added to the Procedures.
