AHEGS

An AHEGS update is currently underway whereby all course descriptions have to include a sentence stating the AQF level of each course. It was decided that this was an opportune time for each faculty to review and update the AHEGS information for each of their courses. As such, all course data is being extracted from the AHEGS database and placed into a separate spreadsheet for each faculty. These spreadsheets will be sent to the faculties early next week to review the wording and ensure that it is current.

Course Browser and Handbook 2014

Course Browser and Handbook master file updates for the 2014 cycle are due today. Faculty Executive Officers (FEOs) have been emailed asking whether or not they require an extension of time.

The due date for all other key stakeholders is Friday, 31 May to make their updates for Handbook 2014. This pertains to the General Information section of the handbook.

On Monday, the IRM team is holding an in-house training session to prepare for the impending update of all Course Browser and Handbook web pages for 2014.

DegreeWorks

IRM have finalised scribing the courses for the pilot launch in Brisbane later this year. There are only a few outstanding Arts majors blocks to be finalised in the next week. Once these have been scribed, work will resume on all other courses.

Knowledge Manager

Please note that Knowledge Manager is now available in SharePoint from the Student Administration site. If you have links to the original KM in Talisma saved in your browser favourites, please delete them.

Tracking Tips

Most documents in SharePoint will be protected and the track changes feature will be used.
Below are a few tips to help with editing a document with track changes enforced:

Firstly, highlight the words that require amending (left mouse click & drag);
Then overwrite with the new words;
If deleting words – highlight the words and press Delete button;
Changes in formatting will be displayed in a ‘comment balloon’ on the left hand margin.

All amendments will be coloured and maybe underlined.
A vertical black line appears on the line in the right hand margin where there are amendments. Even making a space between words is noted.
This is how the next reviewer identifies where the changes have been made.
Avoid overwriting whole documents with new information, as this will lose markups made by other people.

Markups
If all the markups are confusing you while using 'track changes' and you would prefer not seeing the markups:
  • go to the Review tab;
  • pick Final under the Review version; and
  • see how the changes will appear.

Table of Contents
If there is an Index/Table of Contents in the document – DO NOT amend the document at that point.
Go to the page of the document requiring changes.
The Index/Table of Contents can then be ‘updated’ (entire table) and if any changes to the headings, they will be shown in the Index/Table of Contents.

Identify Reviewer in MS Word
Open MS Word document:

  • Go to File
  • Select Options
  • Then General options
  • Go to the ‘Personalize your copy of Microsoft Office’ section
    • User Name: [Your name] (Default is ACU)
    • Initials: [your initials]
  • Press the OK button
  • Process completed
With each new track change by several different people, a new colour will identify who made the amendments to the document. The hover bubble will also identify the person, time and date.

Work Requests
When submitting work requests, please use the IRM Work Request Form and ensure that the wording complies with the Student Administration Style Guide in Knowledge Manager.

Student Connect Noticeboard
Changes to the Student Connect Noticeboard should also be submitted via the IRM Upload Request form. Please remember to visit the noticeboard regularly to ensure it stays current.
