Course Browser and Handbook 2014

Staff have finalised the preparation of the Course Browser, Handbook and Unit Description master files in SharePoint for the 2014 cycle. The Faculty Executive Officers (FEOs) have been emailed requesting them to update these files for the 2014 academic year.

Other key stakeholders have also been advised by email that their files are ready for updating for the 2014 Handbook.

DegreeWorks

IRM have finalised scribing the courses for the pilot launch in Brisbane later this year. There are only a few outstanding Arts majors blocks to be finalised in the next week. Once these have been scribed, work will resume on all other courses.

Knowledge Manager

Please note that Knowledge Manager is now available in SharePoint from the Student Administration site. If you have links to the original KM in Talisma saved in your browser favourites, please delete them.

Student Administration Weekly Reports

We would like to thank everyone for their patience and cooperation in changing the procedure for updating your sections weekly reports over to tracked changes documents in SharePoint. We have found that this is streamlining our process and we hope that it is a positive change for you as well. All feedback welcomed.

Please note that these documents have “track changes” locked on, so there is no need to use features such as strike-though formatting.

Tracking Tips

Most documents in SharePoint will be protected and the track changes feature will be used.
Below are a few tips to help with editing a document with track changes enforced:

Firstly, highlight the words that require amending (left-mouse click & drag);
Then overwrite with the new words;
If deleting words – highlight the words and press Delete button;
Changes in formatting will be displayed in a ‘comment balloon’ on the left hand margin.

All amendments will be coloured and maybe underlined.
A vertical black line appears on the line in the right hand margin where there are amendments. Even making a space between words is noted.
This is how the next reviewer identifies where the changes have been made.
Avoid overwriting whole documents with new information, as this will lose markups made by other people.

Markups
If all the markups are confusing you while doing the track changes, then:
  • Go to Show Markup under the Tracking section
  • Untick Formatting (or any others you prefer)

If you are unsure of how the changes will look on the document or would prefer not seeing the markups:

  • go to the Review tab;
  • pick Final under the Review version; and
  • see how the changes will appear.

Table of Contents
If there is an Index/Table of Contents in the document – DO NOT amend the document at that point.
Go to the page of the document requiring changes.
The Index/Table of Contents can then be ‘updated’ (entire table) and if any changes to the headings, they will be shown in the Index/Table of Contents.

Identify Reviewer in MS Word
Open MS Word document:

  • Go to File
  • Select Options
  • Then General options
  • Go to the ‘Personalize your copy of Microsoft Office’ section
    • User Name: [Your name] (Default is ACU)
    • Initials: [your initials]
  • Press the OK button
  • Process completed
With each new track change by several different people, a new colour will identify who made the amendments to the document. The hover bubble will also identify the person, time and date.

Important Reminders

Work Requests
When submitting work requests, please use the IRM Work Request Form and ensure that the wording complies with the Student Administration Style Guide in Knowledge Manager.

Student Connect Noticeboard
Changes to the Student Connect Noticeboard should also be submitted via the IRM Upload Request form. Please remember to visit the noticeboard regularly to ensure it stays current.
